Role Overview

The Appointment Setter will manage top-of-funnel activities by engaging inbound enterprise leads, conducting timely follow-ups, and scheduling appointments for the sales team. This role requires strong communication skills, a confident phone presence, and the ability to meet daily call and connection targets. The ideal candidate will be comfortable working with CRM and communication platforms, including HubSpot, Aircall, and Zoom.

Key Responsibilities

Lead Engagement & Follow-Ups

  • Reach out to inbound leads and conduct follow-ups to qualify prospects.

  • Maintain consistent engagement to support lead progression and appointment setting.

Appointment Scheduling

  • Schedule meetings between qualified leads and the sales team.

  • Coordinate seamlessly to ensure timely, well-prepared appointments.

CRM & Tools Management

  • Utilize HubSpot, Aircall, and ChurnZero to track interactions and update lead statuses.

  • Maintain accurate, organized records of all communications.

Multi-Channel Communication

  • Communicate with leads via phone, email, text messages, and Zoom.

  • Adapt outreach methods as needed for effective engagement.

Performance & Productivity

  • Achieve daily and monthly call and connection targets (120–150 calls/day; 1,200 connected calls/month).

  • Maintain strong consistency in meeting productivity expectations.

Qualifications

Experience

  • 2+ years of experience in appointment setting, outbound sales, or a related field, ideally with enterprise-level clients.

  • Hands-on experience with HubSpot or Salesforce.

  • Experience with dialers such as Aircall, and familiarity with Zoom.

Skills

  • Excellent verbal communication skills and confident, professional phone presence.

  • Ability to meet high-volume call targets (120–150 calls/day, 1,200 connected calls/month).

  • Strong execution discipline and responsiveness (Speed-to-Lead <10 minutes).

  • Ability to maintain effective contact rates (45%–65%) and appointment set rates (25%–40%).

  • Strong focus on downstream quality metrics, including meeting show rate and meeting-to-SQL conversion.

What Success Looks Like

  • Speed-to-Lead under 10 minutes for every inbound lead.

  • Contact Rate between 45%–65%.

  • Appointment Set Rate between 25%–40%.

  • Meeting Show Rate between 70%–80%.

  • Meeting-to-SQL Rate between 40%–60%.
