We are currently seeking a Resource Center Specialist to join our team. The core schedule is Monday through Thursday (overnight) with availability to work flexible hours with some overtime required. Candidates must be able to work the following schedule Friday 1000 a.m. 600 p.m. Saturday 830 a.m. 630 p.m. Sunday 830 a.m. 630 p.m. Monday 1000 a.m. 730 p.m. • Includes one (1) half-hour break per shift. Key Responsibilities 6 Convert Adobe PDFs to MS Word and vice versa using firm-issued software. 6 Clean and format Word documents, including applying styles and cross-referencing. 6 Generate tables of contents and authorities. 6 Revise Word documents from handwritten copies or via track changes. 6 Create labels and letters using Word 2 mail-merge feature. 6 Select appropriate pleading templates for discovery responses. 6 Compile, edit, and create PDFs with internal/external hyperlinking. 6 Create bookmarked e-binders, and prepare Adobe forms 6 Apply PDF redactions, headers, footers, and bates stamping. 6 Generate comparisons using MS Word or Litera Compare. 6 Process DocuSign packets. 6 Ensure accuracy and quality of all work products. 6 Create and format PowerPoint presentations using firm-branded templates. 6 Create and revise diagrams, tables, and organizational charts. 6 Assist with marketing materials including proposals, face sheets, and placemats. 6 Create and update Excel spreadsheets using filters, formulas and data analysis tools. 6 Build pivot and structured tables. 6 Format spreadsheets for printing or PDF conversion. 6 Transcribe audio files using Olympus software. 6 Stay updated on firm technology and software advancements. 6 Participate in mandatory training sessions, pilot programs, and testing initiatives. 6 Maintain a secure and distraction-free working environment. 6 Provide assistance to administrative and legal staff across the firm. 6 Remain accessible and engage professionally with all levels of personnel. 6 Handle firm content with discretion and privacy. 6 Screen, prioritize, and delegate assignments to exceed expectations and meet deadlines. 6 Manage resource allocation and assist with scheduling. 6 Supervise and support team members; serve as liaison between team and requestors. 6 Ensure compliance with operational procedures. 6 Monitor productivity and quality standards. 6 Maintain accurate records using the ServiceNow tracking system. 6 Troubleshoot software issues, including providing impromptu training as needed. 6 Contribute equitably to the workload. 6 Attend regular staff meetings. 6 Exercise confidentiality in sensitive matters. 6 Promptly answer and manage department and after-hours calls. Qualifications 6 High school diploma or equivalent required. 6 Minimum of five years 2 experience in a legal Word Processing Center environment. 6 Advanced proficiency in Microsoft Word, Excel, PowerPoint, Adobe, and Outlook. 6 Familiarity with iManage Work or similar document management systems. 6 Experience or knowledge of Photoshop, Visio, DocXtools, Workday, and DocuSign is a plus. 6 Strong organizational skills, attention to detail, and the ability to manage multiple projects and deadlines. 6 Ability to work collaboratively in a fast-paced, high-volume environment.
